Guide for users

Navigating the catalogue

The catalogue can be navigated using tags or collections, both of which are accessed via the left-hand menu.

You can use tags and collections in combination, for example selecting a data type from the collections list and then selecting one or more tags to narrow your search down further.

At present our collections are:

  • Audio Data
  • Articulatory Data
  • Software, Processing and Utilities
  • Teaching Materials

Each collection then has several sub-collections providing more specificity.

Each resource can have multiple tags and exist in multiple collections.

You can also use the search feature at the top of the page to search for specific terms.

Sorting your results

As well as filtering based on tags and collections, there are a number of options available for sorting the list of resources.

Newest / oldest first returns resources in order of publication date.

Recetly added returns resources in order of when they were added to the catalogue.

Author A-Z and Title A-Z return resources in alphabetical order of the author or title respectively; note that some resources do not have specific authors so this option may not work as intended.

You can also use the Abstracts toggle button to show or hide abstracts in the search list.

Choosing our collections and tags

The collections and tags have been created from the bottom up in response to the resources present in the catalogue. If you'd like to suggest a change, submit a feedback form.

Zotero library

The YorVoice catalogue is powered by a Zotero Library, using Kerko. The library is public and can be viewed by anyone, but only YorVoice Catalogue Moderators can edit it.

Changes to the Zotero library are automatically pulled nightly to the catalogue.


Guide for contributors

If you'd like to suggest one or more resources to add to the catalogue, please submit a feedback form. Wherever possible, please provide a DOI.

When submitting resources, it's very helpful if you can also suggest appropriate tags and/or collections for the resource. Doing so makes it much more likely that the resource can be added to the catalogue quickly.


Guide for moderators

The YorVoice Catalogue is updated via changes to the Zotero Library, which are automatically pulled nightly to the catalogue. You can access the library via the desktop or browser version of Zotero.

Adding new resources

The easiest way to add a new resource is to use Zotero's 'Add by Identifier' tool (magic wand logo) and paste in the resource's DOI. That way most of the resource information will be included automatically.

If there is no DOI, the resource must be added manually using the 'New Item' tool (plus symbol) and filling out the details individually.

Requirements

The minimal requirements for any resource added to the YorVoice Data Catalogue are:

  • Name
  • URL
  • Abstract or brief description

Using collections

Resources in the main YorVoice library can be dragged into one or more of the sub-collections in the left-hand pane of Zotero. To create a new sub-collection, click the three dots to the right of any collection name and click 'New Subcollection'.

Note that the first ‘level’ is collection, within which there are sub-collections. Do not assign resources to a collection, they must be assigned to a sub-collection. The collection headings appear as titles in the sidebar of the catalogue and are not clickable; only the sub-collection headings are.

There should be no more than three levels of collection/sub-collection; users can use tags to obtain further specificity.

We try to abide by general principles for making faceted collections, but given the vast range of resources available, this can only get us so far. Resources should also therefore be assigned specific tags.

Using tags

Tags are added by clicking on each resource and selecting the 'Tags' heading in the right-hand pane. Please ensure that tags are entered consistently, so that there are not multiple versions of the same tag with different capitalisation, for instance. A tool for generating a list of tags is in development.

As many tags should be included as are relevant; there is no upper limit.

Author names

Zotero offers two options for formatting author names, lastname, firstname or firstname lastname. Note that only author names saved in the lastname, firstname format will display correctly in the catalogue.

If the author names are entered in firstname lastname format, please ensure you click the button to the right of the author name entry box to switch format. This needs to be done for every author associated with a given resource.

Related resources

Where resources are directly linked - e.g. a dataset and the paper describing it, or a dataset and a related set of annotations - they should be 'related' in Zotero. Click on a resource and select the 'Related' heading in the right-hand pane. Click 'Add new' and select the resource to link to (note: this functionality may only be available in the desktop version of Zotero). When you relate item A to B, a link from B to A will automatically be created as well.

Relation should not be used for resources that are merely similar, as this relationship will be reflected in their collections and/or tags.

Since our users are mainly looking for data and tools, please do not add tags or collections to the paper describing a dataset/tool. Only add tags and collections to entry for the dataset/tool itself. The exception to this is where derived data / measurements are included within the paper itself, in which case tags and collections can be assigned as normal.
